If you contact our support team or use in-app chat, we collect the content of that conversation along with your name and email.

We do not collect special categories of data (health, biometric, genetic, political opinions, religious beliefs, or sexual orientation) unless you choose to store it in your own account data as part of using the platform.

We use the information we collect to:

3. AI Features and Automated Tools

Some parts of the Open Doors platform use artificial intelligence to power features such as drafting suggestions, automated replies, and workflow recommendations. We do not use your personal information to train public or third-party AI models. Where we work with AI subprocessors, our agreements with them limit how your data can be used, restricting it to the purpose it was shared for.

We use cookies and similar tracking technologies to keep you signed in, remember your preferences, and understand how the platform and website are used. We do not sell your personal information for money. We share information only with trusted service providers who help us operate the platform, such as hosting, payment processing, analytics, and customer support tooling, under agreements that require them to keep it confidential and use it only for the purpose we specify.

We retain your personal information for as long as your account is active or as needed to provide you services. If you close your account, we will delete or anonymise your information within 90 days, unless a longer period is required by law or reasonably necessary to resolve a dispute or complaint.

Where we do, we put safeguards in place, such as standard contractual clauses or an equivalent mechanism recognised under applicable data protection law, so your data receives a consistent level of protection wherever it is processed.

We do not sell personal information for money. We will not discriminate against you for exercising any of these rights.

11. Data Security

We implement appropriate security measures to protect your personal information. This includes encryption of data in transit and at rest, regular security assessments, and strict access controls for our team. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we work continuously to protect your data against loss, misuse, and unauthorised access.

12. Third-Party Links and Do Not Track

Our website and platform may link to third-party websites and services. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies separately. Our website does not currently respond to browser "Do Not Track" signals.

13. Children's Privacy

Our services are not directed at children under 16, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected data from a child, contact us and we will delete it.

14. Automated Decision-Making

We do not use your personal information for automated decision-making or profiling that produces legal effects or similarly significant effects on you. Our analytics and AI-assisted tools process data to improve the platform and support response times, but no individual decisions about you are made without human review.
